NYS Communications Director
Following are the guidelines for participating in any of AAUW NYS's
eGroups. If after reading the guidelines you have further questions,
please contact the NYS
Communications Director.
- The Communications Director and the eGroup program area Director
(Public Policy, Membership VP, etc.) will both be fully empowered
to moderate each e-Group.
- eGroup members are moderated - members must have Director approval
to post (either individually, or by virtue of a committee position,
etc).
- All replies go to sender.
- Attachments are allowed at the discretion of the Director; be
sensitive to the technical problems between various platforms
and systems and offer to send an attachment in another format
if someone cannot open it.
- Virus protection: all eGroup managers need up-to-date virus
protection to prevent the spread of virus through eGroup participation.
(Set virus scan updates for every 7-10 days.)
- Ideally each eGroup posting should have a "Time Sensitive,"
"Direct To" and/or an "Action to Take" piece,
if it is not obvious who, what or when in the body of the message.
- Keep your questions and comments relevant to the focus of the
discussion group.
- Identify where the posting fits into the overall program of
AAUW-NYS and/or the Association and where or who to go for additional
information.
- Directors should, whenever possible, group announcements together
to prevent indiscriminate posting of material. Once or twice a
month summaries are the ideal, where practical. Public Policy
is an obvious case where timeliness is critical.
- Use discretion when forwarding a long mail message to group
addresses or distribution lists. It's preferable to reference
the source of a document and provide instructions on how to obtain
a copy.
- If you cross post messages to multiple groups, include the name
of the groups at the top of the mail message with an apology for
any duplication.
- Branches are encouraged to spread the eGroup load out, not just
direct everything to one person to redirect the flow locally.
Complete and timely information from branches on the yearly Officer
Report Form is critical to this process.
